Solutions for engineering offices

From the client's first message to project handover, one system follows every step with you.

The video is in Arabic.

Every day, your office hears the same questions.

  • Where has the project got to?
  • Who has the file?
  • Which version is the latest?
  • Has the client reviewed it?
  • Did they pay the second instalment?
  • Who caused the delay?

With emerge, the answer is there before anyone asks. Here is what that looks like in your office.

First contact

A new client wrote at 11 pm. Who answers?

The system, on your office's number. It welcomes them, takes their details through one form, records them as a lead and alerts your team.

  • Meetings get minutesIt books a Teams meeting and reminds both sides. The meeting is recorded with organised minutes, even before the client becomes a project.
  • The quote is a draft you approveAsk for a quote on WhatsApp by text or voice. You get a draft PDF, and it goes out only with your approval.
  • Nobody gets lostEvery lead has a score, an owner and follow-up, and accepts the quote through one link.

The contract

How much of your time does a new contract take?

Upload the title deed, land survey, soil report and ID. The system reads them and fills the empty contract boxes, and you review them before sending.

  • Signed from a phoneThe client signs electronically with a code sent on WhatsApp, and is reminded if they delay.
  • Documents are asked for onceWhat you uploaded is never requested again. What's missing is chased after signing, then every two days, and the manager is told if it stays missing.
  • Every contract's text is yoursEach box and clause can be edited for that contract before it goes out.

engineering services, each with its own contract.

Engineering design · Supervision · Interior design · Project management · Structural design · MEP · Fire and life safety · Technical report · Hydrological study · Land survey · Unit subdivision · Soil investigation

The project

The client signed. Who starts what, and when?

The contract becomes a ready project: the service, site, each discipline's engineer and each stage's days, with no re-entry. Each engineer gets a message when their stage starts.

An engineering project in emerge with sample data: contract date, expected date, stages and the owner of each stage.

The client asked for changes. Who carries the delay?

The contract date stays fixed from signing, in working days and your office's holidays. Every added day has a recorded reason under its own name, seen by the office and the client.

The files

Which version is the latest?

There's only one live file for each discipline. An engineer opens it from the project page and it stays locked to them until they finish, so nobody edits over someone else's work.

An engineering project's live files in emerge with sample data: format, version, responsible engineer, edit status and review.
  • Your own softwareAutoCAD, ETABS, SAFE and SAP2000 stay on the engineer's computer. The system organises the file.
  • Every version keptEach version's number, who uploaded it and when. PDF and Word open and are edited inside the system.
  • Storage your wayOn OneDrive through Microsoft 365, or in your office's space inside the system.

Who reviewed this drawing before the client saw it?

Under every file a manager picks one or more reviewers, with a deadline and view or edit access. The system knows who did the work, who reviewed it and who delayed it, and reviewer days don't count against the engineer.

Then one delivery package.

Tick PDFs from any discipline and the client receives one numbered package, on WhatsApp and in their portal.

The client portal

How often does a client ask: where are we?

They won't need to. Each client has a private portal that installs on their phone like an app, with notifications, and reads directly from their project's record in your system.

Try the portal

The current stage, the contract and expected delivery dates, every stage with its dates, and the site on a map.

Payments

Did the client pay the second instalment?

Each invoice arrives on time with its payment link: at signing, after the initial designs are approved, and when the drawings are approved. If they transfer and send the receipt on WhatsApp, the system reads it and records it when the amount matches.

  • Reminders carry the invoiceEach reminder comes with the invoice file and pay button, so the client never hunts for an old message.
  • What doesn't match comes to youA doubtful receipt waits for your confirmation, and cash is a button that sends a paid invoice.
  • ZATCA compliant invoicesMoyasar settlements show too: when the money reached your bank and what it cost.

On site

The contractor is ready to pour. How do they ask for inspection?

One link per supervision project, with no login. They see only the open stage, send requests to the responsible engineer and get the answer on WhatsApp.

  • Supervision by level and scopeCore and shell, fit-out or both, with stage lists you edit in Settings.
  • Set inspectionsA Basic contract starts with six inspections for core and shell, nine for fit-out.
  • A request doesn't move the projectThe engineer answers each one and closes the stage themselves.

Management

How is the office doing today?

Ask the system on WhatsApp, by text or voice. Or open one board with every engineer: their projects, stages, KPI, and who is close to late.

The engineer performance board in emerge with sample data: projects, running stages, KPI, status and last update.
  • A reminder every working morningThree working days before delivery, then two, then one, each engineer gets a message with what's left.
  • A suggested schedule for each engineerIt queues their stages by nearest deadline, suggests how to finish with no delay, and works out the first date free for your next project.
  • Profit per projectHours and salaries are split across projects, so you know what each one earned.

And this is everything that runs your office.

FAQ

Everything you want to know before you start.

Does the system replace AutoCAD?

No. Engineers keep working in AutoCAD, ETABS, SAFE and SAP2000 on their own computers through a small helper tool. The system organises the file: who edits it, its versions, its review and its delivery.

Does the client need an app or an account?

No app store. The portal reaches them by link and they can add it to their phone's home screen. Uploading documents works through a link with no login.

Do we need Microsoft 365?

Not for files, which stay in your office's space inside the system if you don't connect OneDrive. Teams meetings, their recordings and minutes, and email from your office's account do need a connected Microsoft 365 account.

Does it submit to Balady or Civil Defence?

No. The system tracks the Balady drawings stage in the project schedule. Submitting on government platforms stays with your office.

Does the AI send anything without our approval?

Welcomes, collecting details and reminders run automatically. Quotes are drafts you approve, you send contracts and deliveries yourselves, and a receipt that doesn't match comes back to you.

How does the client pay?

Through a Moyasar payment link with the invoice once your account is connected, by bank transfer with the receipt sent on WhatsApp, or in cash using a button in the system that sends a paid invoice.

Can we change the stages and contract wording?

Yes. Stage lists and days are in Settings, each contract's wording can be edited before it goes out, and on design contracts you edit stages and payments from the contract itself.
